A cross-reference number is a promise: order this, receive something that replaces that. When the promise is wrong, the cost is not one return — it is a customer who no longer trusts any number in your catalogue. We recently audited our own cross-reference data against the sources it was built from and deleted 18 entries. This is what went wrong, because the same five patterns will be in any list built the same way.
Where bad cross-references come from
Most aftermarket cross-reference data is built by mining marketplace titles. A seller writes Replaces 12345, 67890, ABC-1 in a product title, a scraper extracts the numbers, and they become "equivalents".
The problem is that a marketplace title is a keyword field, not a specification. Sellers put numbers in it for three reasons — the part is that number, the part fits something with that number, or the seller wants to appear in searches for that number. Only the first makes it a cross-reference.
Pattern 1: the number belongs to the assembly, not the part
The most common error. A seller lists a valve and puts the cartridge's number in the title, or lists a cartridge and puts the valve's number in.
We had PSV3S cross-referenced to PSXVDE. PSXVDE is the diverter cartridge that goes inside a PSV3S valve. They appear in the same title constantly because anyone servicing one is searching for the other. They are not equivalents, and a customer ordering against that cross-reference gets a component when they wanted the whole valve.
Screen for it: if one number is consistently described with words like kit, assembly, cartridge or insert and the other is not, they are related, not equivalent.
Pattern 2: it is a case SKU
We had a cross-reference where the source title read Must Order CASE of 12. The number was real and the part was right — but it was the pack SKU, not the piece SKU. A customer ordering 50 against that number is ordering 600 pieces.
Screen for it: any source text containing case, pack, box of, bulk or a quantity multiplier invalidates the number as a piece-level cross-reference.
Pattern 3: sibling models pointing at each other
Parts in the same family are sold side by side, compared with each other, and listed together. Scrapers read that adjacency as equivalence.
We found three diverter valves in one series all cross-referenced to each other. They are different sizes. Nothing about them is interchangeable except the family name.
Screen for it: if two numbers differ by one character and both exist as separate products in the same catalogue, they are siblings until proven otherwise.
Pattern 4: the parent number
We had a filter grid cross-referenced to two numbers that turned out to be the grid assembly — the complete set including the manifold. The single grid is a component of it.
This one is dangerous because the numbers genuinely do appear together in legitimate documentation. The distinction is one of scope, and scope is exactly what a title does not record.
Pattern 5: one title, five numbers, two relationships
The clearest illustration in our data: a single marketplace title contained five numbers. Read as a list of equivalents, that produces five cross-references. Read carefully, the title described two different o-rings and a kit that contains them — so only two of the five were aliases for the part being sold.
This is why we deleted a rule we originally had. The rule said: if a part has only one source title and that title confirms a number, treat it as strong evidence. Testing that batch showed a 19% error rate, while entries confirmed by two or more independent titles showed none in the sample we checked.
A single source is not confirmation. It is one person's keyword field.
A sixth pattern that only shows up in the data
After the audit we ran one more check that is worth stealing: look for numbers registered both as a cross-reference and as a fitment on the same product.
Logically both cannot be true. Either the number is another name for this part, or it is the machine this part goes into. Where both were recorded, one was wrong. That single query found nine more bad entries.
It also produced one false alarm worth knowing about. Two numbers that look identical after you strip punctuation — one written with a space, one with a hyphen — were flagged as a contradiction. They are two different things: one is a filter tank model, the other is a cartridge part number. Normalisation creates false positives. Check before you delete.
What a defensible cross-reference looks like

Parts with genuinely long cross-reference lists do exist — a widely used Hayward seal plate in our catalogue carries eleven, a Jandy valve component carries ten, a Pentair control part carries nine. Those lists are long because the part is used across many equipment lines, and each entry traces to its own evidence. Length itself is neither a good sign nor a bad one.
What this means when you are buying
Ask your supplier how a number gets onto their cross-reference list and what evidence is required. If the answer is that it came from their database, ask where the database came from. If it was built by mining listings and never audited, the five patterns above are in it — and they will surface as returns on your account, not theirs.
